How To Cancel An ELD Contract (Motive, Samsara & More)
Rules, prices and device details on this page were checked October 2026 against the official sources listed at the bottom. Where a provider doesn't publish a number, we say so instead of guessing.
Cancelling an ELD contract sounds simple until you read the agreement. Many fleet contracts renew on their own, need written notice weeks in advance and charge for the rest of the term if you leave early. Miss a deadline and you can be locked in for another year. Here's how to cancel without surprises, and how to keep your logs safe while you do it.
Contract terms vary by customer and change over time. The details below come from public filings and company statements checked October 2026. Your own agreement is what counts, so read it first.
Contract Basics
Most ELD agreements have four parts that matter when you want out:
- Initial term. How long you committed to, such as monthly, one year or several years.
- Renewal. Whether the contract renews on its own at the end of the term, and for how long.
- Notice period. How far ahead you must tell the provider you won't renew, and how (email, letter or portal).
- Early termination. What you owe if you leave before the term ends. Often it's the remaining payments.
Look for these in the master agreement and in any order forms you signed. Order forms sometimes have their own term, which can differ from the main agreement.
By Provider
| Provider | What public sources say |
|---|---|
| Motive | Standard terms we reviewed run 12 months and renew automatically unless you give 30 days' notice. |
| Samsara | Its SEC filings say contracts typically have an initial term of three to five years and are generally non cancelable and non refundable. |
| Verizon Connect | Says customers can pick their initial term, then service continues month to month at the discounted rate. |
| Geotab | Sold through resellers, so terms vary. One reseller says there's no contract for individual items. |
| Small fleet ELDs | Many, such as HOS247, sell month to month or yearly plans. |
Motive
If you're on Motive (formerly KeepTruckin), the key date is 30 days before your renewal. Put it on your calendar. Send written notice before then, and ask for a confirmation in writing. Check whether your order forms for cameras or other products have separate terms.
Samsara
With Samsara, long initial terms mean early cancellation is usually costly. If you're mid term, ask your account manager about options such as moving licenses to other vehicles, reducing add ons at renewal or negotiating a buyout. Then give notice before the renewal date so the contract ends cleanly when the term is up.
Verizon Connect
Once your initial term is over, service continues month to month, so cancelling after that point should be simpler. During the initial term, check the early termination terms in your agreement.
Fees
Fees you might run into when cancelling:
- Early termination charges. Often the remaining monthly payments for the term.
- Hardware. If hardware was financed or leased, you may owe the balance or need to return it.
- Return shipping. Some providers require you to ship devices back, sometimes at your cost.
- Deinstallation. Hardwired units and cameras may need a technician to remove them.
- Unreturned equipment fees. If you don't send devices back, you may be charged for them.
Ask the provider for a written statement of what you'll owe before you send final notice, so there are no surprises on the last invoice.
Step by Step
- Find your agreement. Download it from the provider portal or ask your account manager for a copy.
- Note the dates. Write down the term end date and the last day to give notice.
- Line up your new ELD. Don't cancel until the replacement is ready, so drivers aren't left without a compliant device.
- Send written notice. Follow the method in the contract exactly, and keep proof that you sent it.
- Get confirmation. Ask for a written confirmation of the end date and any final charges.
- Export your data. Download your logs and reports before access ends.
- Return or remove hardware. Follow the return instructions and keep tracking numbers.
Common Mistakes
- Calling instead of writing. A phone call to support usually isn't valid notice. Use the method the contract names.
- Waiting for the renewal invoice. By the time it arrives, the notice window has often closed.
- Cancelling only part of the account. Cameras, trackers and add ons may sit on separate order forms with their own dates.
- Forgetting the drivers. Tell drivers the cutover date and make sure they log out of the old app.
A little planning helps here. Set a reminder 90 days before each renewal date so you have time to compare options, get quotes and test a new system before the notice deadline arrives.
Keeping Your Data
This step is the one that can hurt you later. Under 49 CFR 395.30, carriers must keep ELD records and back up copies for six months. If you cancel and lose access to the old system, you still need those records for audits or investigations. Export everything before the account closes: driver logs, edit histories, unassigned driving records and supporting documents.
Drivers also need the current day and the prior 7 days of logs available at roadside. When you switch devices, drivers should carry printed copies of recent logs from the old ELD until the new system has a full 8 days. FMCSA has guidance on what to do when an ELD is replaced, and you should follow it.
Switching
Use the cancellation as a chance to get a better deal. Compare published prices and terms, and favor providers with short or month to month terms if you value flexibility. Run the new system on a few trucks before you roll it out to everyone. Our guides to no contract ELDs and the best ELD devices are good places to start, and you can compare ELD quotes from several providers at once.
