Fleetio Review 2026: Fleet Maintenance Software Tested

Rules, prices and device details on this page were checked October 2026 against the official sources listed at the bottom. Where a provider doesn't publish a number, we say so instead of guessing.

Let's clear something up first: Fleetio is not an ELD. It doesn't log hours of service, and it won't keep you compliant with the ELD rule. What it does is manage everything else about your trucks: maintenance, inspections, parts, fuel and costs. And it plugs into the ELD you already have to pull in odometer readings, fault codes and inspection defects. If your shop still runs on whiteboards and spreadsheets, that combination can be a big deal. Here's our review, with pricing and features checked on Fleetio's pages in October 2026.

What Fleetio Does

Fleetio is cloud software for fleet maintenance and operations, with a web app called Fleetio Manage and a mobile app called Fleetio Go. The core idea is simple: every vehicle gets a full record of its service history, costs, inspections, issues and documents, and the system reminds you when work is due.

Main areas include:

  • Maintenance: service reminders, work orders and service history
  • Inspections: digital DVIRs and custom inspection forms
  • Issues: defect reporting from drivers, tracked through to repair
  • Parts: inventory and parts used on work orders
  • Fuel: fuel entries, fuel card integrations and cost tracking
  • Integrations: telematics, fuel cards and an open API

It's built for any fleet with vehicles to maintain, from a handful of trucks to large mixed fleets with equipment.

Pricing Tiers

Fleetio publishes its prices, which is refreshing in fleet software. Here's what we found on its pricing page:

PlanPrice per vehicle per monthBilling
Essential$4 annual, $5 monthlyAnnual or monthly, up to 100 vehicles
Professional$7Annual only
Premium$10Annual only

A few notes from the pricing page:

  • The listed prices assume a 5 asset band, so your quote can differ by fleet size.
  • There's a 14 day free trial with no credit card needed.
  • All plans include unlimited users, which matters when you want drivers, techs and managers all in the system.
  • Telematics integrations are available on all plans.

Remember that Fleetio is on top of your ELD cost, not instead of it. A 10 truck fleet on Professional pays about $70 a month for Fleetio, plus whatever the ELD costs.

Maintenance Scheduling

This is Fleetio's heart. You set service reminders by miles, engine hours or time, like an oil change every 15,000 miles or an annual inspection every 12 months. When a telematics integration feeds in current odometer readings, the reminders update by themselves, so nobody has to walk the yard writing down mileage.

When work is due, you open a work order, add labor and parts, and close it out. The service history builds itself as you go. Over time, that history shows you which trucks cost the most per mile, which is gold when you're deciding what to replace.

It also helps with the federal paperwork. Under 49 CFR 396.11, carriers have to repair defects found on a DVIR and certify the repair before the vehicle is driven again, and keep the reports for three months. Fleetio's issue to work order flow lines up with that. Our DVIR guide covers the rules.

Telematics Integrations

Integrations are what make Fleetio useful for trucking fleets. Fleetio's help center lists two kinds:

  • Native integrations, built and supported by Fleetio, including Samsara, Geotab, Motive, Verizon Connect and Teletrac Navman.
  • API integrations, built by the telematics provider using Fleetio's open API, such as Lytx, Netradyne Driver•i, Ezlogz and Azuga.

What comes across depends on the provider. For Samsara, Geotab and Motive, Fleetio's chart shows meters, faults and diagnostic codes, fuel vendor location alerts, vehicle location and DVIR defects all syncing.

How often data syncs

For native integrations, Fleetio says meter readings and fuel entries import nightly, DVIR defects import hourly, and fault alerts import nightly by default with an hourly option. It also doesn't pull historical data when you first connect. Data flows forward from the day you set it up. And integrations aren't compatible with 3G devices.

That nightly timing matters. Fleetio isn't a live tracking tool. Use your ELD platform for where trucks are right now, and Fleetio for what they need next.

Parts Inventory

Fleetio tracks parts by location, with quantities, costs and the work orders they're used on. When a tech adds a part to a work order, inventory updates. The mobile app supports barcode scanning to look up vehicles and parts, and recent app updates show when a part is out of stock at a location so techs can pick a compatible one. For fleets with their own shop, this alone can stop a lot of lost parts and duplicate orders.

Fuel Tracking

You can log fuel ups manually in the app or bring them in through fuel card integrations. Fleetio then tracks fuel cost and economy per vehicle. Telematics integrations can also send fuel vendor location alerts, which flag fuel purchases made away from where the truck actually was. It's a simple check against fuel card misuse.

One thing Fleetio isn't: an IFTA filing tool. Your ELD tracks miles by state. Fleetio helps you keep fuel records organized, which you'll need for IFTA, but the return itself comes from your ELD or tax software. See our IFTA reporting guide.

Mobile App

Fleetio Go runs on iPhone, iPad and Android. A Fleetio Manage subscription is required to use it. According to its App Store listing, drivers and techs can:

  • Submit inspections and report issues from a phone
  • Scan barcodes to find vehicles and equipment
  • Get service and renewal reminders and push notifications
  • Manage work orders on the go
  • Log fuel ups and view fuel history
  • Add photos, documents and comments

The iOS app had a 4.6 rating from about 24,000 ratings when we checked in October 2026. Recent reviews are mostly positive about features, with some complaints about inspection glitches and logins. Fleetio ships updates often, so check recent reviews rather than old ones.

Getting Started with Fleetio

The trial is the best way to find out if Fleetio fits, so plan it so you learn something in 14 days.

  1. Load a few vehicles first. Add five or ten trucks with VINs, current mileage and the documents you already have, like registrations and warranty info.
  2. Connect your ELD. If your provider has a native integration, link it on day one so meters start flowing. Remember there's no history import, so the sooner the better.
  3. Set your service schedule. Enter your real PM intervals, not the defaults, so the reminders match how your shop works.
  4. Give drivers the app. Have them run their daily inspections in Fleetio Go for a week and report issues with photos.
  5. Close the loop. Turn a few reported issues into work orders, add parts and labor, and close them out. That's the workflow you're paying for.

At the end of the trial, ask yourself one question: did anything fall through the cracks that would have been caught in the old system? If the answer is no, the old system is probably fine. If you found missed services or lost defects, Fleetio is earning its keep.

Pros and Cons

Pros

  • Published pricing from $4 per vehicle per month on annual billing
  • Unlimited users on every plan
  • Native integrations with major ELD platforms
  • Strong maintenance, work order and parts tools
  • 14 day free trial without a credit card

Cons

  • Not an ELD, so you still need a separate HOS solution
  • Professional and Premium are annual only
  • Telematics data syncs on a schedule, not live
  • No historical import when you connect a telematics provider

Verdict

Fleetio is a great addition for fleets that already have an ELD and want to get serious about maintenance. If you run 10 or more trucks and your service records live in a binder, it'll likely pay for itself in fewer missed services and better replacement decisions. If you're an owner operator with one truck, the ELD app's basic maintenance reminders may be enough.

Pick your ELD first, then make sure it has a native Fleetio integration. Our telematics guide and our Samsara and Geotab reviews are a good place to start. Ready to compare ELDs? Get free ELD quotes.
